Inbox Outsource
First, we want to address risk since a lot of entrepreneurs and business owners we talk to are nervous about giving a virtual assistant access to their inbox. With that said, our clients have been giving VAs access to their inboxes and they’ve seen nothing but great success in saving up their time.
A Mid sized business has tons of incoming emails consistently throughout the week and even on the weekends. On a daily basis, a C-Level executive spends the first two hours responding to emails. Then as more emails came in throughout the day, they’d be distracted. The ability to wake up to the inbox already cleared by a virtual assistant and have only important emails left for them was an absolute game changer.
We think you get the point! There’s much more valuable projects you should be working on instead of answering every email that comes in. We have an efficient system for having a virtual assistant manage your inbox for you going forward, you will get your hours back each week and days back each year.
We’re super excited to see you succeed and stop having to spend as much time in your inbox. We follow appended steps to help manage your emails and achieve the goal of “0 (Zero) Inbox”
Important Emails
We start with your Important Emails and create a Cheat Sheet. The goal of this blueprint is to be able to hand it over to a virtual assistant so they get an overview of your business from the viewpoint.
Creating Your Ideal Set Up
There are six basic questions here to help you set up your ideal day:
1. What times should your emails be cleared by each day?
2. How many times a day and at what times would you, the owner, like to check your inbox?
3. What is the maximum response time for all emails?
4. What emails should be prioritized?
5. What types of emails should be left for you, the owner?
6.What days and times would you like your VA to check in with you and provide you an update on your inbox?
Creating a List of the Types of Emails You receive
Once your VA is well versed in your company and how you expect them to work with you, one of the final step is considering training your Inbox VA to manage your calendar at the same time.
We like to create the canned responses and give them to our VA in a Google Document. As they are learning each canned response, we then have them add it to Google Templates so they are the ones getting practice with it instead of us doing it for them.
Your VA will start following the schedule to manage your emails, clean your inbox and inform you of any important emails you need to check and/or respond.
We will discuss the VA’s performance weekly over our review call. We’ll cover:
- Any emails that you have notes on to teach them and to improve their skills
- Go over any new canned response additions
- Go over any email types or rule changes
And, keep moving forward & save your time!
